Job Purpose: 

Ensure accurate and timely distribution of goods from the warehouse to supermarkets/channels, while maintaining optimal inventory levels and coordinating effectively across production, warehouse, delivery, and sales departments.

Key Responsibilities: 

1. Distribution Coordination: 

• Create daily allocation and delivery plans from the warehouse to supermarkets or MT/GT channels based on orders from the Sales team

• Issue and manage outbound orders, monitor picking – packing – dispatching processes to meet delivery timelines.

• Monitor and troubleshoot delivery issues such as late shipments, shortages, or returns.

• Manage shipper and fulfillment

• Ensure strict cold chain control from Duc Trong to Hanoi and last mile under 10°C

2. Inventory Management: 

• Monitor daily physical and system inventory levels.

• Flag and manage near-expiry or expired stock; coordinate FIFO/FEFO rotations.

• Coordinate with production planning to ensure timely stock replenishment to the distribution center.

3. Cross-functional Communication: 

• Work closely with the Production team to monitor output and avoid supply bottlenecks or overflows.

• Liaise with Sales and Trade Marketing teams to update promotion schedules, urgent orders, or special handling.

• Collaborate with delivery teams or 3PLs to optimize delivery routes and schedules.

4. Data and System Management: 

• Maintain accurate data records for orders, stock movements, and deliveries in the ERP system.

• Prepare and analyze reports on on-time delivery rate, return rate, and stock discrepancies.

• Ensure proper tracking of SKU, quantity, and expiry information for each customer/supermarket.

5. Process Improvement & Operational Control: 

• Propose improvements to the order picking, packing, and delivery processes to reduce cost and errors.

• Support evaluation and performance monitoring of third-party logistics (3PL) providers.

• Ensure compliance with warehouse standards, hygiene, and cold chain requirements (if applicable).

KPIs:

• Ensure delivery to customers within the committed timeframe.

• Drive efficiency to reduce last-mile delivery costs.

• Maintain high stock accuracy and proper system reconciliation.

• Minimize product returns caused by fulfillment errors.

• Ensure strict cold chain/ temperature control throughout the delivery process.

About you: 

• College or University degree in Supply Chain, Logistics, Business Administration, Accounting, or equivalent.

• Minimum 2–5 years’ experience in warehouse coordination, logistics, or distribution operations.

• Proficient in Microsoft Excel, Google sheet

• Knowledge of supermarket delivery procedures (MT/GT channels) is a strong advantage.

• Strong organizational and multitasking skills, able to work under pressure and handle real-time operational changes.

• Proactive in task management and committed to delivering reports on time.

• Able to work both independently and collaboratively in a team environment.
